Who processes your data
The data you submit when applying is processed by Emporia, as data controller, solely for recruitment.
Why we collect it
To review your application: assess your profile against the role, communicate with you and keep a record of decisions. No decision is made entirely automatically, and your answers are not used for any other purpose.
Legal basis
Your consent, collected when you submit the form, and pre-contractual steps taken at your request.
What we keep
- Your identity and contact details (name, email, phone, location).
- Documents you attach: your CV and, where applicable, a photo.
- Your answers to the job’s questions and your cover letter.
- Internal application history: stage, team notes and emails exchanged.
We retain a technical fingerprint (a hashed IP address) to prevent automated submissions. Your IP address is never stored in plain text.
How long we keep it
Your application is kept for 12 months after submission, then automatically deleted, including attachments — unless we have a contract with you or you ask us to keep it longer.
Who has access
The people responsible for recruitment at Emporia. Our technical processors (hosting, file storage and email delivery) act on our instructions; the ATS database is hosted in the European Union.
Your rights
You have rights of access, rectification, erasure, restriction and objection, as well as the right to withdraw consent at any time and the right to data portability. Email thomas@emporia.co: we respond within one month. You may also contact the CNIL.
Cookies and advertising measurement
Local storage in your browser temporarily saves your application draft so you do not lose your work; it is cleared on submission. A cookie remembers your language choice.
This site also uses the Meta (Facebook) pixel to measure the effectiveness of recruitment ads on Meta platforms. When you submit an application, a conversion confirmation is sent to Meta; your contact details (email, phone and name) are sent as SHA-256 hashes, never in plain text, solely to measure and optimize these ads. Meta Platforms Ireland Ltd acts as a joint controller for this measurement; its data policy is available at facebook.com/privacy/policy. You can block this tracking through your browser settings (blocking third-party cookies) or your Meta ad preferences.
Video editing test applications
When you start a test on editors.emporia.co, Emporia also keeps your portfolio or reference links, any referral you provide, the application language and source, your consent, test start and submission times, delivery link and reviewer note. These are synchronized with the same application in jobs.emporia.co so the recruitment team can review your work. The test portal uses Vercel and Redis for hosting and storage; the ATS uses Neon. Submitting the test does not send your application details to Meta.
The retention period and contact above also apply to the test data. Erasure removes the associated test from both tools. We retain non-readable technical identifiers to prevent a delayed synchronization from recreating a deleted application. A new application with fresh consent can still be submitted.
